EV Crew Auto — Privacy Policy
Effective date: November 1, 2026 · Version: PP-v2
1. Who we are
EV Crew Auto provides mobile vehicle inspections (California Automotive Repair Dealer registration 318180). This Policy covers evcrewauto.com, app.evcrewauto.com and our booking, inspection, reporting and payment activities. Questions and requests: hello@evcrewauto.com, (650) 278-3045.
2. Information we collect
- Contact and booking: name, email, telephone, city, requested package and date, and your messages. We ask for the exact service address before confirming an appointment.
- Vehicle and inspection: make, model, year, VIN, plate where needed, odometer, photos, diagnostic and battery readings, findings and Reports.
- Permission and transaction records: permissions, document versions, the name, time and email used to authorize, the authorized documents, Estimates, Work Orders and Invoices.
- Payment records: amount, method, status and refunds. We do not store full card numbers or card security codes.
- Technical data: the internet (IP) address and browser recorded when you authorize an Estimate, a protected code derived from your IP address kept for one day to limit abuse, and standard server logs from our hosting provider.
Please do not send identity documents, account passwords or card numbers in messages. We never ask for the Owner's Tesla-account password.
3. How we use information
We use it to answer you, arrange and authorize work, perform the inspection, deliver Reports and Invoices, process payments and refunds, correct findings, protect our systems and keep the records the law requires.
We also keep a separate technical study copy for statistics, for improving our service and software, and for machine-learning analysis for those purposes. See Section 6. We do not try to identify anyone from that copy.
4. Who receives information
We do not sell personal information and we do not share it for advertising. We do not give Reports to sellers or other parties without your authorization. We use these service providers, only to run our business:
- Google: Cloud Run hosts the customer portal; Gmail and Google Calendar handle our email and appointments.
- Neon: database for the portal and, in a separate project, the study copy.
- Backblaze B2: off-site backups, encrypted on our own system before upload.
- AI assistants (such as OpenAI and Anthropic): our internal assistant may process business emails you send us and our work notes in order to help prepare replies. It does not send messages to you on its own.
- Stripe: card payments, only when offered on your Estimate. See https://stripe.com/privacy .
We may disclose records to the Bureau of Automotive Repair or other authorities when the law requires it, or when necessary for a legal claim. Publishing photos or details of your vehicle requires your separate permission, and you can refuse and still buy an inspection.
5. Cookies and tracking
The customer portal uses one necessary cookie that protects its forms. It does not use advertising or analytics cookies. If we add analytics, we will update this Policy first and will not use it on pages that contain your private links.
Because we do not track you across other websites, we do not change our practices in response to a browser "do not track" signal. Other parties do not collect your information across websites through our portal.
6. How long we keep information
- Requests that never become a service: contact data is removed 90 days after the request. Requests are also deleted from the portal once they are stored in our main system and the retention period ends.
- Customers who receive a service: records are kept for three years after your last service. The Bureau of Automotive Repair requires at least three years for transaction records.
- Portal PDFs: available for 30 days, then the file is removed from the portal. Authorization links expire after 7 days. The authorization record is kept.
- When contact data is removed: name, email, telephone and address are replaced by a removal marker, free-text notes are cleared, and the VIN is shortened to 11 characters. Make, model, year, shortened VIN and technical readings remain. This is removal of contact data, not full anonymization.
- Study copy: contains a random vehicle code, make, model, year, VIN shortened to 11 characters, month of visit, rounded odometer, technical readings and fault codes. It excludes names, contact details, plates, addresses, notes and files.
- Backups: kept for 30 days, so removed data can remain in backups until they expire.
7. Security
We use encrypted storage for our main records, encrypted backups, restricted access and signed connections between our systems. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
8. Your choices and California rights
The California Consumer Privacy Act applies to businesses above certain size thresholds, and we do not currently meet them. We still honor these requests for any customer: to know what we hold, to get a copy, to correct it and to delete what we are not required to keep. We will not treat you differently for asking. Write to hello@evcrewauto.com; we respond within 45 days and may need to confirm your identity. An authorized person may ask on your behalf with your written permission. Records the law requires us to keep are retained for the required period, and we will tell you what was kept and why.
Our services are for adults and are not directed to children under 13.
9. Changes
We show the effective date and version of this Policy at the top. If we make a material change, we update this page and, when we hold your email and the change affects you, we notify you. We keep earlier versions on request. Your booking records the version you accepted.
